You do not need a data team
Most small shops have no idea who their best customers are, and the reason is rarely effort. Without a record, there is nothing to look at. Once each tap builds a customer record automatically, five quick checks are enough to learn a lot. Set aside fifteen minutes at the start of each month.
The customer list: sort by spend, points or visits, and export to CSV.
1. Who are your top regulars?
Sort your customer list by spend, then by visits. The people at the top are the ones your business leans on. Make sure your staff recognise them, and think about what a small thank-you would mean to them.
2. Who has gone quiet?
Look at the last-visit date. Regulars who used to come every week and have not appeared for a month are the easiest customers to win back, because they already like you. A friendly message or a small offer is worth sending, within the limits of what they agreed to receive.
3. Who is close to a reward?
Sort by points. Customers a few points away from their first reward are one visit from a good experience. Mentioning it at the counter is free and often prompts the visit.
4. Which days are busiest?
Your receipt log shows when sales happen. Compare weekdays and weekends, and lunchtime against late afternoon. It helps you plan staffing, stock and quiet-hour promotions.
5. What do you know that is not written down?
Private staff notes per customer let you record what only your team knows, such as how someone likes their order. Add a note when you learn something useful, and keep it professional, since customers have the right to ask what you hold about them.
Keep it respectful
Use customer data for the reasons you told people about, keep it limited to the staff who need it, and check the PDPC’s guidance if you are unsure. We cover the basics in our guide to PDPA for small shops.
Turning the checks into a habit
Pick the same day each month, answer the five questions, and write down one action. One small action a month, done consistently, will do more than an ambitious plan you never start.
Common questions
Do I need to be technical?
No. The customer list sorts by spend, points or visits with one click, and you can export it to a spreadsheet if you prefer working there.
How long before the list is useful?
The record builds from the first tap, and after a few weeks of trading there is enough to see patterns.
Does every customer appear with their own record?
Customers who give their phone number to join your loyalty programme are linked to their own record, so the list becomes more useful as more of them do.
